Manage Your Buyers - Unpaid Item and Bidder Management

Dear Sellers,

I have been coming across many posts & also through phone interaction with some of you that raise issues about buyers not fulfilling their commitment to make payment for the products purchased.

While we do advise you get in touch with the buyer and close the order successfully & amicably, there are times that buyers may change their minds in purchasing the product & hence the transaction is left incomplete.

I will like to assure you here that ebay would not charge you ebay fees in such circumstances, however there is a procedure you need to follow to bring this to our attention so that we can give you credit at the time of raising your invoice.

This process is known as the UNPAID ITEM PROCESS, popularly known as the UPI Process. By following this procedure, you contribute to the ebay community by highlighting buyers who do not intend to fulfill their commitment.

Lets see how UPI procedure works.

a)You receive an order say on 1st Feb 2006. Your “Sold” Section under MY Ebay Page will reflect the order details along with the buyer details.
b)You then send an invoice to the buyer requesting him to make the payment
c)You wait for a minimum 7 days, giving some time to buyers to send the payment if payment is through cheque, demand draft etc.
d)On the 8th day i.e. 8th Feb if you have still not received the payment, you can report the same to ebay. To do that go to SOLD- Report an Unpaid Item ( located under the Action tab)
e)Select the reason as to why you are reporting the particular transaction and submit.
f)An email is then sent to the buyer through the ebay system requesting him to make the payment or if payment already done, to provide payment made proof
g)If still after 7 days (16th Feb) you receive no payment or any intimation from your buyer, you can then go into “Dispute Console” (located under MY EBAY) and close the dispute.

Note
1)You must close the dispute, to receive credit for that transaction.
2)You can “Report an Unpaid Item” upto 45 days from the date of order being purchased.

Implications of this Procedure

a)You receive credit for the reported transaction and you do not pay ebay fees on the same
b)Buyer receives a strike against his Buyer Id which helps in warning other sellers about buyers intention
c)3 Strikes against a buyer’s ID would restrict him from buying on ebay

Selecting your Buyer to help you complete your deal successfully:

Ebay has a very powerful tool that enables you to decide the kind of buyers who can bid/purchase your products. This tool is called the “Buyer Requirement Tool”, which enables you to select the criteria of buyers.

Currently you can block buyers who do NOT meet all or any of the below criteria:

•Buyers in countries to which you don’t ship
•Buyers with a negative feedback score
•Buyers with Unpaid Item strikes

You can also ask your bidder to verify himself before he bids/purchases your product.

To set your buyer Requirements, follow the instructions below:

a)Log into “ My Ebay Page”
b)Under “ My Account”, click on Preferences
c)Under Buyer Requirements, click on “ Edit” & select your criteria’s

I would strongly urge you to go through these tools in details which may help you reduce number of unsuccessful transactions.
